Managing Lead Times & Delivery Dates

This guide explains how our system figures out delivery dates. It also shows you how to handle a customer's requested delivery time and how to change a date if you need to.

How Delivery Dates Work

In Parts Portal, the customer's requested delivery time changes how we set prices and estimate dates. Our system automatically figures out a few things based on what the customer asks for:

  • Estimated Delivery Week: The week we think the part will be ready, based on how long it takes to make.

  • Lead Time Multiplier: A number that changes the price based on how fast the customer needs the part. (Note: The system does this automatically, so you can't change it.)

  • Total Price: The final cost, calculated automatically.

What the Customer Asks For

When a customer asks for a quote, they will pick a date range for when they want the parts. They will choose:

  • Start Date: The earliest date they want it.

  • End Date: The latest date they want it.

  • Flexible Checkbox: If they check this, they don't have a strict deadline. The price won't go up for a rush order.

Checking the Dates (Match or Mismatch)

Parts Portal helps you see right away if your delivery week matches what the customer wants. You will see these colors when you review a quote:

🟢 Match (Green)

Delivery is on time or early

Great! Your delivery week matches what the customer asked for.

🔴 Mismatch (Red)

Delivery is late

Your delivery week is later than what the customer wants. You should talk to the customer, change the times, or pick a new delivery week.

Note: If the customer picked "Flexible," you won't see a red warning. Any date is okay!

Changing the Delivery Date

Sometimes you might need more or less time than the system guesses. You can easily change the date:

  1. Look at the Estimated Delivery Week on the quote.

  2. If you need to, click to change this week to a new one.

  3. When you change the date, the system will automatically update the total price for you.

  4. The green or red colors will also update to match your new date.

Step-by-Step Summary

  1. The customer picks when they want the parts.

  2. The system guesses the delivery week and calculates the price.

  3. You look at the quote and change the delivery week if you need to.

  4. If you change the week, the price updates automatically.

  5. The system shows a Green (Match) or Red (Mismatch) color so you know if the dates line up.

  6. The customer sees the final quote with clear dates and prices.
