Navigate to the “User Management” Tab at the top.
Click “Add User” in the top left hand corner. This will open another window, asking you to enter their email, name, and role.
3. Click "Add User" once finished. The new user will then receive an invitation email to set up their account.
⚠️You can delete or edit users on the left hand side of their name box under Actions.
User Roles & Permissions
Parts Portal supports two roles to help control access and responsibilities. Roles include being a user or a manager.
Customer Manager Role
Managers have full access to the platform and are responsible for reviewing and approving all quote requests submitted by Users before they can be sent to the vendor.

Can view, create, edit, and submit quotes and orders.
Can review, approve, reject, or send back for revision any quote requests submitted by Users.
Can manage company account details and user information.
Can add, remove or adjust user role access.
Can track order status and view updates.
✔️Key Responsibility: Managers serve as the final checkpoint – ensuring requests align with inventory, budget, and project priorities before being processed.
✉️Notifications: Managers receive email alerts for new quote requests and order activity.
Customer User Role
Users can create and submit quotes or order requests through the platform. Most submissions will go to a Manager for approval before any action is taken. However, if you have a valid Purchase Order (PO) Number, you can place an order directly without needing manager approval. The PO Number confirms you have purchasing authority and helps ensure all orders are accurate and properly authorized.

Can create and submit new quote requests to their Manager for approval.
Can place orders (with valid PO Number).
Can view, track, and monitor the status and history of their submissions.
Cannot approve or finalize quote requests.
⚠️Important: Any quote requests submitted by a User will remain in the “Awaiting Manager Review” status until reviewed and approved by a Manager. Once approved, the quote request will automatically be submitted to the Vendor for processing.
✉️Notifications: Users receive updates on their own quote and order activity.
Email Notifications:
When a quote request is submitted, only the main manager (the first manager onboarded for the vendor) receives the email notification titled “Quote Approval Needed”.
When a manager requests a revision to a quote, only the user who originally submitted the RFQ will receive the “Quote Revisions Needed” email.
